The Registered Manager is responsible for the day-to-day operational management of the clinic, working under the strategic direction of the Director / owners to oversee finance, human resources, regulatory compliance, patient experience and facilities management. The role acts as the bridge between clinical care and business management, ensuring high standards of quality and patient safety while delivering sustainable profitability and growth for the business.

(1) Business Operations & Strategy

  • Work with the Director / Administrative General Manager to contribute to the annual business plan and budget
  • Monitor KPIs (patient volumes, utilisation rates, average fee per consultation, cancellation rates, etc.) and submit monthly reports to the leadership team
  • Standardise and continuously improve operational processes, patient flow and appointment scheduling
  • Support the development of business cases for new service lines or specialty areas

(2) Financial Management

  • Oversee billing and collections processes for insurers and self-pay patients
  • Review fee schedules and negotiate supplier contracts
  • Support the preparation of monthly and quarterly business reports

(3) HR & People Management

  • Oversee recruitment, onboarding, rostering and attendance management for clinical and non-clinical staff
  • Manage the performance appraisal process, goal-setting and training and development plans, including mandatory training
  • Maintain employment policies and contracts, and handle disciplinary and grievance matters in line with HR policy and UK employment law
  • Promote engagement across the team, including doctors and other clinical professionals

(4) Regulatory Compliance & Governance

  • Ensure ongoing compliance with CQC registration requirements and the Fundamental Standards
  • Manage and audit policies for Health & Safety, Infection Prevention & Control (IPC), and Information Governance (GDPR / patient data protection)
  • Oversee the recording, reporting and remediation of incidents, complaints and significant events
  • Support the running of clinical governance meetings and manage the audit schedule

(5) Patient Experience & Business Development

  • Oversee reception standards, waiting times and communication quality to maximise patient satisfaction
  • Act as the first point of contact for patient feedback and complaints, and lead continuous improvement
  • Work with the leadership team on marketing initiatives, including referral networks and digital patient acquisition

(6) Facilities, IT & Supply Chain Management

  • Oversee maintenance of premises and medical equipment, and manage contracts with cleaning, maintenance and leasing providers
  • Supervise the operation and data management of IT systems such as Electronic Medical Records (EMR)
  • Manage stock control and ordering of pharmaceuticals and medical consumables
