Description & Scope

The HR & Safety Coordinator is responsible for supporting compliance with UK employment legislation, Health & Safety regulations, internal company standards, whilst assisting with ongoing projects, compliance activities and continuous improvement initiatives within a small business environment.

Responsibilities

  • Support HR administration, including employee records, correspondence, filing, and confidential documentation.
  • Coordinate return-to-work, absence review, disciplinary, grievance, and formal employee meetings, including minute-taking.
  • Monitor attendance, annual leave, sickness absence, SSP, and occupational health referrals.
  • Maintain training records and matrices; coordinate internal and external training to ensure compliance with mandatory requirements.
  • Support recruitment, onboarding, inductions, Right to Work checks, and probation review administration.
  • Assist with payroll administration by providing employee updates, absence information, and relevant documentation.
  • Coordinate employee engagement initiatives, including surveys, meetings, recognition events, and company celebrations.
  • Ensure confidentiality and compliance with GDPR and UK data protection requirements.
  • Support incident, near-miss, accident investigation, and RIDDOR reporting processes, ensuring actions are completed.
  • Maintain Health & Safety records, including PPE, inspections, servicing schedules, and compliance documentation.
  • Assist with risk assessments, COSHH assessments, DSE assessments, workplace inspections, and safe systems of work (SSOW).
  • Coordinate Health & Safety Committee meetings, training, fire safety administration, audits, inspections, and compliance activities.
  • Maintain organized electronic and paper filing systems for HR and Health & Safety documentation.
  • Promote and support a proactive, positive and compliant Health & Safety culture.
  • Support compliance with UK Health and Safety legislation, including but not limited to: Health and Safety at Work etc. Act 1974, RIDDOR, COSHH, PUWER, LOLER.

Qualifications

  • 3–5 years HR administration and/or Health & Safety coordination experience.
  • Knowledgeable of UK employment practices and Health & Safety requirements.
  • Experience within manufacturing, engineering or operations (preferred).
  • Strong organizational and time management skills; ability to manage competing priorities.
  • Excellent attention to detail and accuracy.
  • Proficient in Microsoft Office applications, including Word, Excel and Outlook.
  • Strong written and verbal communication skills.
  • Ability to work independently, use initiative and maintain confidentiality.
  • Flexible and adaptable within a small business environment.
  • NEBOSH General Certificate, IOSH qualification, CIPD qualification or willingness to work towards (preferred).
