At James & Partners, we partner with leading real estate businesses, financial institutions and legal firms across the UK, rest of Europe and the Middle East. We are looking for a dynamic Office Coordinator to support our high-performing team in our London office based in Fulham. This is a great opportunity for someone with at least 1 year of office support experience who wants to step into a fast-paced, people-first environment with real exposure to executive search, operations, and brand development.
What You’ll Be Doing
- Own the logistics of candidate interviews — liaising with clients, confirming details, and keeping things moving smoothly.
- Edit and format candidate CVs to the highest standard before submission.
- Manage the MD’s inbox, handle calls, distribute contracts, and keep internal systems tidy and up to date.
- Help onboard new starters and troubleshoot basic tech setup queries.
- Handle light finance admin including invoice chasing and payroll prep (Xero).
- Support the wider recruitment team with ad hoc tasks — you’ll be the dependable go-to across the board.
Marketing & Brand Coordination
- Lead content creation for our social media platforms — from writing posts to scheduling and analysing engagement.
- Maintain brand consistency across all channels and touchpoints.
- Assist with writing newsletters and blog posts, and keeping job ads current across platforms.
- Spot opportunities to grow our reach — whether through campaign ideas, SEO improvements, or clever content distribution.
What We Are Looking for…
- At least 1 year of experience in office administration or coordination (bonus if it’s within a recruitment or marketing setting).
- Strong attention to detail — formatting documents, writing content, and managing inboxes comes naturally to you.
- A can-do attitude and willingness to roll up your sleeves — no two days will look the same.
- Excellent communication skills, both written and verbal.
- Comfortable using tools like Microsoft Office, LinkedIn, Canva, or Xero — or keen to learn quickly.
- Organised, reliable, and unflappable under pressure.
