Location: Old Whittington, Chesterfield
Days/Hours: Mon-Fri 9am-5pm with 1 hr unpaid lunch break - 35 hours pw
Salary/Hourly Rate: week 1 -12 you will be paid £13.60ph week 13 onwards, you will be uplifted to £14.60ph if the role becomes permanent.
Purpose of the Role: The Certification Administrator is responsible for ensuring the smooth, accurate, and compliant delivery of the companies Certification services. Acting as a key control point within the certification process, the role supports the production of Certificates of Competence, manages data across multiple systems, and maintains audit-ready records. It requires strong attention to detail, solid judgement, and clear communication to provide reliable information that supports business decisions and demonstrates compliance. The postholder engages proactively with colleagues and external stakeholders, safeguarding the integrity and credibility of certification by upholding high standards of accuracy, consistency, and confidentiality.
Duties of the Role:
- Plan and organise daily tasks to meet agreed deadlines and standards of service.
- Respond to client enquiries promptly, escalating urgent or sensitive matters when needed.
- Resolve routine queries efficiently and flag any risks or potential delays.
- Provide support to colleagues at all times, being a great team player.
- Manage routine invoicing and general administrative processes.
- Prepare and issue certification documents accurately and on time, ensuring all records support the certification decision.
- Review documentation for completeness, identifying issues and escalating where appropriate.
- Carry out general administrative duties, including data preparation, filing, distributing correspondence, and supporting induction/training activities.
- Notify candidates of upcoming certification expiry dates and assist with renewal processes.
- Process online payments and generate invoices in line with GDPR and internal procedures.
- Monitor client accounts, send reminders, and manage overdue notices to maintain accurate financial information.
- Prepare and send organisational documents, ensuring accuracy, timely delivery, and full tracking.
- Prioritise tasks across multiple workstreams while maintaining accuracy and high service standards.
Compliance Bit:
- Input and validate personal data to a high standard of accuracy, adhering to Data Protection.
- Always maintain complete confidentiality.
- Work in line with internal quality standards, oversight controls, and accreditation requirements.
- Oversee the accurate production of certificates and uploads to Registration Bodies & Competent Person Schemes.
- Maintain audit ready records that support the companies Certification’s regulatory obligations.
- Undertake administrative duties required to achieve and maintain UKAS accreditation(s).
- Develop and maintain working knowledge of certification schemes, systems, and procedures relevant to the role.
Client Service Bit:
- Act as a key point of contact for our approved centres, providing clear, accurate, and consistent certification related information.
- Deliver timely and effective solutions to customer needs.
- Communicate effectively with internal teams, assessment centres, and external customers.
- Provide collaborative support to other internal departments as agreed with the Team Leader.
