Role Objective
Contacting the companies clientsto ensure the companies annual assessment visits arescheduledto perform the company reviews and audits as required. So a great phone manner with a tenacious, engaging attitude is essential as you will be speaking to all business managers, directors, etc to schedule these reviews.
Overview of the Role
You will provide a greatadministration service ensuring adequate resources/auditorsare providedto deliver the expectedservices to the companies clients. Toprovide greatadministrative support within the operations team, being a key link between the companiescustomers and audit staff staff byadministering daily activities required to achieve the scheduling and kpis required. Preparing the client data for issuing accreditation certificates, invoices, contract reviews and provide the liaison between clients and the relevant staff regarding all inquiries and the progress of the application and certification process.
Duties
- Scheduling and bookingannual audit and reviewvisits that ensures delivery of the companiesservices to its customers.
- To assist in the team resource planning, ensuring resources are available to complete the annual visit
- To plan and monitor visits to ensure that the annual visit programme is completed on time in accordance to the schedule.
- Accurate compilation and entry of the reviews, including updating onactivity required for better results, coding and queries.
- Generating certificates and dispatching with invoicesand maintaining accurate related records.
- Providing support and cover to Administration team colleagues
- Dealing with client inquiries, performing chase up calls and maintaining accurate electronic records
- Planning own workload to ensure priority tasks completed to agreed deadlines and objectives are met.
- To help identify issues and make recommendations for better working practice
- To prepare routinereports
Must Haves
- Minimum GCSE’s or equivalent qualification – including English and Maths (or demonstrable & verifiable relevant work experience).
- Highly motivated with excellent administrative and organisational skills with the ability to prioritise workload.
- Experience of Microsoft Office, PC literate and accurate keyboard skills
- Excellent Englishcommunication skills and ability to build relationships, as there is a lot of phone liaison required
- Great people and customer service skills, with experience of working in a customer service environment as well as solid administrative experience
- Ability to work as part of a team or on own initiative with minimum supervision
- Ability to work to deadlines and targets to ensure scheduled appointments met
