We are currently partnering with an executive non-departmental public body, who are looking to appoint an Executive Assistant to support the CEO, Chair and Senior Manager on a permanent basis.
This will be a full-time position based in Canary Wharf , with hybrid working (circa two days per week in the office) and a salary of £39,237 per annum .
The ideal candidate will have extensive executive or PA support experience, excellent organisational and diary management skills, and experience working with senior stakeholders. You will be proactive, highly organised and confident managing competing priorities, while using initiative and discretion to anticipate the needs of senior leaders.
Duties will include (but are not limited to):
- Managing complex and changing diaries, prioritising appointments and resolving diary clashes
- Coordinating meetings, travel and practical arrangements for senior leaders
- Acting as a key point of contact for internal and external stakeholders
- Anticipating potential conflicts, competing priorities and emerging issues
- Supporting senior colleagues with planning, deadlines and commitments
- Maintaining systems to track priorities, actions and deadlines
- Capturing actions and decisions from meetings and ensuring appropriate follow-up
- Supporting senior leadership team and staff forum meetings, including scheduling, agendas, minutes and actions
- Assisting with the organisation of workshops, awaydays and other events
- Preparing and formatting papers, briefings, correspondence, presentations and other documents
- Identifying opportunities to streamline processes and improve administrative efficiency
- Using digital tools, technology, AI and automation to improve productivity and collaboration
- Maintaining accurate records, files and documentation
Experience required:
- Experience providing PA or Executive Assistant support to senior leaders
- Excellent organisational, scheduling and diary management experience
- Experience working with senior stakeholders and handling sensitive information with discretion
- Strong written and verbal communication skills
- Experience using a range of digital collaboration, communication and productivity tools
- Ability to quickly learn and adopt new systems and platforms

Desirable experience:
- Familiarity with project management principles and processes
- Experience supporting neurodivergent colleagues or working within an inclusive environment
