The Executive Assistant position based in Warwick provides proactive, professional, and confidential support to a Director, enabling effective management of their time and priorities. This temporary role pays £15.38–£23.07 per hour, with 37.5 hours per week and overtime at £23.07 per hour. Working Mondays to Fridays from 08:30 to 17:00 (minus a 1‑hour unpaid break) with flexibility around these hours. The position is fixed‑term from 4 August 2026 to 30 October 2026, with a potential extension.

Key Responsibilities
  • Coordinate complex diary, email and travel management for the Director.
  • Arrange national and international travel, including flights, accommodation, itineraries, visas (where applicable) and supporting logistics.
  • Prepare agendas, presentations, reports, briefing papers and meeting packs, ensuring documentation is accurate, professional and distributed in a timely manner.
  • Attend meetings, produce accurate minutes, track actions and follow up to ensure completion.
  • Coordinate the preparation and distribution of monthly reports and other executive‑level communications.
  • Maintain effective filing, document management and record retention systems, ensuring information is organised, secure, and easily accessible.
  • Build and maintain strong working relationships with stakeholders across the business and with external partners, acting as a professional ambassador for the Director.
  • Ensure all activities are carried out with the highest levels of professionalism, confidentiality and integrity.
Qualifications
  • Proven experience as an Executive Assistant within a corporate environment.
  • Experience supporting senior leaders with complex diary, inbox and travel management.
  • Experience coordinating meetings, events and producing high‑quality business documentation.
  • Exceptional organisational and planning skills with the ability to manage multiple priorities and competing deadlines.
  • Strong stakeholder management skills with the ability to build effective relationships at all levels, both internally and externally.
  • Excellent written and verbal communication skills.
