About the Role

We are seeking a reliable and organised Office Administrator to support the smooth running of a busy Consultancy office based on the outskirts of Exeter close to good transport links.

The role plays a key part in maintaining efficient day‑to‑day administration and ensuring excellent support across teams.

Key Responsibilities

  • Act as the first point of contact for the office by welcoming visitors, managing incoming calls and directing enquiries.
  • Formatting and checking documents such as tenders and assembling packs, certificates of payment, and contract documents.
  • Office management tasks, including ordering stationery and fleet car management.
  • Booking meetings, events and site visits.
  • Directing and answering phone queries.
  • Logging invoices and issuing contract documents.
  • Preparing timesheet reports on a monthly and weekly basis.
  • Writing and issuing fee proposals and bid documents.
  • Creating and issuing VAT receipts and handling petty cash.
  • Providing general administrative support to project teams and other departments.

Skills & Requirements

  • Previous experience in an administrative role, ideally within the construction/consultancy sector but not essential.
  • Strong organisational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Experience of using AI tools.
