We are looking for a freelance Studio Operations Coordinator to support the day-to-day running of the studio during a busy transitional period. This is a hands-on, part-time role where you will play a key part in keeping projects, finances, and studio operations running smoothly. Working closely with the Studio Director and wider team, you will bring structure, organisation, and clarity across a variety of tasks, helping ensure the studio continues to operate efficiently.

Key Responsibilities

  • Support client invoicing and month-end processes
  • Track project expenses and overall studio spend
  • Maintain financial trackers and assist with reporting
  • Help ensure financial information across projects is accurate and up to date
  • Set up and maintain project data and reporting (e.g. Harvest)
  • Support time tracking and general studio resourcing
  • Help keep project information organised and accessible
  • Assist with studio logistics (deliveries, materials, general organisation)

Studio Operations

  • Act as a key point of contact for day-to-day studio needs
  • Support the Studio Director with planning and priorities
  • Maintain studio systems, templates, and documentation
  • Prepare simple trackers, summaries, and reports
  • Help ensure clear communication across teams

What We Are Looking For

  • Experience in studio coordination, operations, or administrative roles, ideally within a creative environment
  • Highly organised with strong attention to detail
  • Comfortable working with budgets, spreadsheets, and data
  • Proactive, adaptable, and able to manage multiple priorities
  • Clear communicator with a collaborative and positive approach
  • Familiarity with tools such as Harvest, Excel, or Google Sheets is beneficial but not essential

Freelance, part-time role. Immediate start preferred. Initial contract: 2–3 months, with potential for extension. Commitment: 2–3 days per week. Hybrid working with London studio presence required.
