Head Legal Cashier
As an integral part of the Management team, the Head Legal Cashier will play an important role in the future development and enhancement of the financial stability and growth of the firm to improve efficiency and service delivery in line with strategic objectives.
Key Responsibilities The Head Legal Cashier is expected to manage all aspects of the day-to-day financial operations of the firm and ensure its smooth functioning within all the relevant governance arrangements and regulatory obligations laid down by the SRA, including Solicitors’ Accounts Rules, Anti Money Laundering Regulations and any other relevant statutory provisions, for example, Companies Act, Data Protection laws.
A Legal Cashier is a specialised type of bookkeeper for law firms who is responsible for the accounting and finance functions of a solicitor's firm.
- Finance and Day to Day Duties
- Taking responsibility for the firm’s financial matters and interests
- Ensure accurate and complete records for client accounts in accordance with Solicitors’ Accounts Rules
- Scrutinising large transactions
- Manage the payments process and review and set up of payments at the bank
- Recording all transactions in the appropriate manner
- Responsibility for accounting both office and client transactions on a daily basis and managing the accounts system
- Dealing with all invoices and ensuring they are paid on time
- Manage the accounting system and ensure accurate and complete accounting records are maintained on a timely basis
- Ensure that there is an effective and efficient financial control environment Maintain and develop effective financial management procedures, increasing automation and efficiency to provide the best accounting and management information to manage the firm.
- Liaise with Management Accountant and the Firm’s Accountants
- Liaise with fee earners as required to provide support and assistance with their monthly financial reports.
- Prepare financial and management information for the month, quarterly and annual accounts and reports, as required, including the valuation of work in progress
- Manage the month end close procedure.
- Review old balances and unpaid bills, liaising with fee earners to ensure that all are being chased, making a record of the status of old balances/unpaid bills and keeping the Management Accountant and Managing Partner updated on their status and any concerns.
- Prepare, review and submit the quarterly VAT return
- Input Legal Aid and LAAS claims and allocate payment once received.
- Prepare other financial management reports as necessary or as requested.
- Liaising with the SRA accountants and prepare and manage the annual SRA Audit Support the Managing Partner in his role as COFA ensuring that the Accounts Department and the firm comply with the SRA Rules and Regulations by maintaining financial controls and internal procedures.
- Payroll
- Assist the Managing Partner and Executive Assistant in relation to HR matters as and when required
- Liaise with payroll provider to ensure an accurate and up to date payroll including auto enrolment pension ensuring statutory duties are complied with.
- Ensuring the efficient operation of the firms PAYE scheme.
- General Responsibilities
- Bring effective leadership to the Accounts Department Be flexible and carry out other associated duties as may arise, develop or be assigned in line with the broad remit of the position
- Manage the effective performance of, and provide leadership, support and guidance to the Accounts Department and support the Managing Partner
