We publish over 150 magazines, supplements, guides, and directories. This includes weekly publications Travel Weekly and The Caterer, as well as other publications such as Aspire, Travolution and Connections. Connections is a world leading luxury travel community and event organizer, with over 70 events delivered and contracts with tourist boards such as Visit California, Oman Ministry of Tourism and Tokyo Convention Bureau.
The Jacobs Media Events Team is a specialised, in-house, full-service, event management team delivering networking marketplaces, conferences, award shows, business breakfasts, executive dinners, and roundtable events.
The Role
- Research, manage, and deliver high-quality conferences and awards ceremonies.
- Act as the lead Project Manager for each conference/event.
- Manage one or two team members.
- Work closely with the internal teams including marketing, sales, and editorial to deliver the best outcome for our events.
- Complete event management – overseeing all elements of each event, from initial inception to implementation and final evaluation.
- Acting as the point of contact for sponsors, venues, and 3rd Party suppliers.
- Managing all pre-event preparation, customer communication, and on-site logistics.
- Venue sourcing negotiation & liaison.
- Corresponding with speakers and conference agenda management.
- Overseeing the production of event materials including delegate lists, name badges, etc.
- Manage events on-site.
- Manage event follow-up activities, including producing feedback, analysis of feedback, and recommendations to improve future events, attendance analysis, and ensuring all invoices are paid.
- Attendance at events, must be available to work evenings when required.
- Facilitate relationships with production team, suppliers, and agencies.
- Monitor budgetary expenditure.
Candidate Requirements
- The candidate will ideally have 3-5 years of events experience, with a strong conference and events background.
- They will be proficient in running both face-to-face and virtual events.
- They will have previous management or leadership experience.
- They will have experience leading multiple events.
- Show proficiency in managing events platforms (website, apps, virtual platforms).
- Have sole lead experience in managing all aspects of events, from registration to onsite/virtual platform management.
- Budget management expertise.
- They will be energetic and highly organised, someone who enjoys taking on responsibility and making a positive contribution.
- They will be highly professional, able to work to timelines, within set budgets and to the exacting standards required.
- They will understand the importance of good relationships both within and outside the organisation.
- Be flexible and adaptable to the needs of the wider events team.
- Excellent attention to detail.
- Highly organised and able to multi-task and manage high volumes of work, unsupervised and at times out of office hours.
- Good time management and workload prioritising.
- Able to work Monday - Friday, 09:00 - 17:30 as your core hours both in office and remote (onsite event/office 3 of 5 days). There may be an occasion where you are required to work outside of these hours, depending on events.
- Good communication and project management skills.
