An exciting opportunity with excellent career potential to join a professional and dynamic commercial and mixed-use property management department. My client is seeking an MRICS qualified candidate (experience will be considered) keen to deliver the benefits of working collaboratively within a busy and hard-working environment.
This role would lend itself to an individual with a desire to grow their professional profile, and the successful candidate will have responsibility for managing the assets on a day-to-day basis, whilst instructing and managing associated workflows and liaising with in-house accounts team on financial requirements.
The ideal candidate will be a member of the RICS with a minimum of three years’ relevant experience working in a similar role managing retail, commercial and mixed-use property, preferably for a small to medium sized consultancy. They will be organised, enthusiastic, and well presented, and have a genuine interest in the property industry and want to provide an exceptional service to our clients and tenants. This is a client facing role and therefore the candidate must be comfortable communicating with clients both at a written level and at meetings.
The role will involve:
- Property Management
- Responsibility for the comprehensive property management of a selection of multi-let offices and mixed-use retail properties
- Manage tenant communication, enforce lease terms, and address concerns
- Oversee repairs, maintenance, and compliance in line with safety and industry standards.
- Preparation of client reports
- Tenant application reviews - prepare any recommendation for client consideration/instruction
- Familiarity of leases terms to ensure the property is being maintained in accordance with the terms, advising on client vs tenant liabilities and identifying and remediating breaches.
- Managing both the onboarding and offboarding processes for instructions including ensuring dilapidation obligations are met
- Reviewing surrender of lease and lease assignment applications.
- Health & Safety
- Liaising with contractors, the Facilities Manager (FM) or building surveyors to ensure repairs, redecoration or refurbishment are resolved in a robust and timely manner.
- Collaborate with facilities management to ensure compliance with relevant legislation, including Health & Safety and other regulations
- Finance
- Work with the accounts team to ensure all rent, service charge and insurance demands are collected, and where necessary oversee the credit control process.
- Take full responsibility for preparing, presenting, and securing approval for Service Charge Budgets, managing service charge reconciliations, and overseeing service charge regimes throughout the year.
- Presenting Service Charge Budgets to tenants and addressing any queries.
- Preparing and presenting budgets for client approvals as well as reviewing cash flow reports and BvA reports to manage financial performance
- Approving service charge year end reconciliations/accounts in accordance with RICS guidelines and client instruction
- Client Operations
- Advising on the appropriate action in response to any legal notice received in relation to a managed property
- Ensuring high levels of customer service are maintained through regular customer engagements
- Liaising with our established Agency and Landlord and Tenant teams in accordance with lease events to best manage clients’ portfolios.
- Assisting with securing new business opportunities and to identify opportunities to cross sell services to clients where reasonably practicable
- Working with colleagues to support wider initiatives of common client and project interest to enhance client experience
Key skills and characteristics:
- An excellent team worker who can build positive working relationships with all key stakeholders.
- Demonstrate extensive knowledge of property management to ascertain value-adding opportunities.
- A good working knowledge of Microsoft Word and Excel, and property management systems.
- Proactive and confident in taking initiative and ownership, exercising sound judgement and common sense in decision making.
- Well organised and able to manage a complex and changing workload.
- Provide effective leadership and direction to colleagues to ensure successful outcomes.
- Encourage and actively support the personal and professional development of team members, particularly those under your direct supervision.
Qualifications and Experience:
- MRICS qualified with notable experience in commercial property management.
- Excellent understanding and working knowledge of Landlord and Tenant legislation, health & safety, and other applicable legislation.
- Thorough understanding of the RICS Code of Practice and relevant industry guidelines.
- Exceptional communication skills, both verbal and written, and the ability to prepare clear, high-quality reports.
- Experience across mixed-used assets is preferable to help support the wider management team with Residential assets.
