The role involves executing Document Control support across the business using functional processes and procedures. The position requires providing a high level of service, influenced by safety, compliance, and company objectives. Key support includes delivery to the following business units:
- Major Projects
- Contracts
- HSE
- Subsea Operations
Key duties will include:
- Ensuring Group Mailbox emails are assigned appropriately
- Accountability for emergency response related support
- Core involvement with late life/decommissioning engineering projects
- Pre/post campaign support delivery for subsea operations including safety critical close-out
- Contractor/supplier start-up
- Document Control Team Lead delegate
Safety:
- Controlled hardcopy inspections – Responsibility for schedule to ensure controlled hardcopies inspected on an annual basis, including primary/secondary emergency response and offshore installations.
- Safety critical documentation as-building/close-out – Monitor prioritisation, input into company safety tool monthly in line with key point indicators.
You are:
- Experienced with good communication and interpersonal skills
- Flexible to business demands, both proactively and reactively
- Able to work both as part of a group and with own initiative to deliver individually
- Someone with high attention to detail and accuracy
- Skilled in document management ensuring all documents are properly filed, archived, and retrievable
- Capable of distributing documents to relevant stakeholders in a timely manner within processing target metrics
- Experienced with controlled document control management systems, both admin and engineer
- Knowledgeable of operational document control methodologies and best practice
- Able and willing to provide internal/external training and raise document control awareness
- Committed to ensuring confidentiality and security of sensitive information
- Familiar with as-building/safety critical close-out
- Experienced in handling archive/legacy related documentation requests
- Maintaining a continuous improvement mindset including process innovation and efficiencies
