We are looking for a proactive Executive Administrative Assistant to support the Audit Leadership Team in a fast paced environment.

You will have experience working with stakeholders and a background in financial services, corporate or events administration.

The role involves managing diaries, travel, expenses and meetings, and requires discretion, strong time management, attention to detail and the ability to handle competing priorities professionally.

What You'll Do

  • Manage complex, proactive diary co ordination for internal and external meetings, conference calls and senior events (off sites, town halls, skip levels), including orchestration and logistics support.
  • Act as first point of client contact for internal and external stakeholders, co ordinating department scheduling and transactional activities with professionalism.
  • Partner with travel, T&E and finance teams to arrange travel and entertainment bookings, ensure timely expense submission, and enforce CIB/Firmwide T&E policies and receipt requirements.
  • Liaise with wider support groups, Business Management and cross Lo B stakeholders to resolve issues, elevate priorities and maintain seamless operations.
  • Maintain and utilise internal systems for accurate data entry, reporting and information collation to support decision making and auditability.
  • Oversee administrative housekeeping including distribution lists, technology usage, meeting setups and assistant cover across teams.
  • Embed within the business to understand shifting priorities, contribute to projects, presentations and training as required, and provide cross Lo B assistant support when needed.

What You Bring

  • Proven experience (3+ years) in client facing and stakeholder management within financial services, corporate or events environments.
  • Full competency in complex diary co ordination, applying sound judgement to prioritise competing commitments and optimise senior time.
  • Polished, executive communication style - strong written and verbal skills - with a calm, professional manner under pressure.
  • Demonstrable ownership and proactivity, flexible and receptive to change, with a solution orientated, team player approach.
  • Experienced in arranging travel and producing accurate itineraries (including contingency plans), proficient with travel and expense systems, and able to champion expense policy and cost control initiatives.
  • High level technical capability, meticulous attention to detail, and consistent delivery of high quality results.
  • Strong understanding of investment bank culture and internal politics, able to partner across hierarchies, act as a role model to peers, and elevate policy or compliance concerns appropriately.
