What you'll do:

  • Step into a pivotal role as an Executive Assistant within a dynamic investment banking setting.
  • Responsible for ensuring seamless operations through expert diary management, travel planning, and administrative support, while building strong relationships across the organisation.
  • Proactive and advanced diary management.
  • Client-facing role, handling both internal and external stakeholders.
  • Manage complex travel bookings within policy, including flights, trains, visas, accommodation, and transport, while adapting to last-minute changes and preparing detailed itineraries.
  • Oversee business expenses in collaboration with the offshore expense team, ensuring timely reimbursements and accurate tracking of personal amounts owed.
  • Expert in internal systems (e.g., Concur, eSource, Travel Portal, iMeet/iMemo, Concierge service, OMD & FTC) with precise data entry skills.
  • Build strong understanding of group priorities while fostering teamwork, flexibility, and support for group-wide initiatives.
  • Coordinate meetings, conference calls, and virtual sessions (Zoom/Blue Jeans/telepresence).
  • Handle general administrative tasks such as room bookings, filing, photocopying, stationery orders, and business card requests.
  • Collaborate with assistants across the CIB group to provide cover during absences.
