About the role:
We’re looking for a highly organised and proactive and Events Administrative Assistant to join ourdynamic Worldwide Events Teamat JCB. This is a fantastic opportunity to play a key role in supporting the delivery of JCB’s global event calendar. The ideal candidate will thrive in a fast-paced environment, is detail-orientated, and have a genuine interest in events and team collaboration.
You’ll be part of a collaborative team that brings the JCB brand to life through seamless event execution, ensuring every detail is handled with precision and professionalism.
What does this roleinvolve day to day?
· Provide day-to-day administrative support to the Events team and wider department.
· Assist with scheduling meetings, preparing agendas, taking minutes and following up on actions.
· Manage calendars and coordinate appointments for team members and external stakeholders.
· Support event logistics, bookings, arranging travel and accommodation and liaising with vendors.
· Maintain and update databases and records.
· Help prepare and distribute event materials (e.g. name badges, itineraries, signage).
· Process invoices using Ariba.
· Assist in on-site event support when needed.
· Ensure event supplies and inventory are tracked and replenished as necessary.
· Handle general office administration tasks to ensure smooth day-to-day operations.
· Answering phone calls and greeting guests at JCB’s VIP Visitor Centre – acting as the face of JCB.
This will be suited to you if…
· You have previous experience in an administrative or coordinator role(experience in events would be beneficial).
· You’re IT literate, with proficiency in Microsoft Office.
· You are able to multitask and work under pressure.
· You’re flexible to occasionally support the team on evenings and weekends.
· You’re highly organised, with excellent time management and attention to detail.
· You’re confident communicating with people at all levels, from suppliers to senior stakeholders.
· You thrive in a team environment but can also take ownership of tasks and work independently.
· You’re flexible, proactive, and ready to adapt to the changing needs of a global business.
· You have experience in Kinetics and Ariba (this would be beneficial).
· You have knowledge of budgeting and finance (this would be beneficial).
· You have an interest or background in events, marketing or hospitality.
