We are seeking a Parts and Inventory Administrator who is aspiring to reach their potential in the field of Construction and Maintenance, reporting to the Operations and Administration Supervisor at J-AAR Assets and Logistics. While supporting a construction environment, you will be working within an office environment. You will have the ability to work the occasional evenings and weekends. Your support may be required outside of normal work hours.

How you will make an IMPACT

  • Monitor parts order group email and place orders for required parts.
  • Create POs in Maestro internally and for suppliers.
  • Coordinate parts run with Parts Runner and/or Courier.
  • Populate work order with part costs and credits.
  • Monitor Inventory levels in 360, parts room and other locations.
  • Reconcile Inventory book and input Monthly Inventory.
  • Communicate to techs and divisions on parts order status and follow up with suppliers as required.
  • Assist with other admin duties as required.
  • Coordinate deliveries and returns with vendors and suppliers and the correct user group on arrival.
  • Assisting answering the phone.
  • Monitor pricing with vendors to ensure we are on track and following up with costs.
  • Yearly inventory count and update to be completed in December.
  • Other duties as assigned.

How you WOW us

  • Ability to read service instructions and keep accurate records.
  • Strong proficiency in using E360 Fleet Software for managing and tracking fleet operations, including vehicle maintenance and scheduling.
  • Proficient in using Maestro Applications for coordinating business operations, including point-of-sale (POS) systems and inventory management.
  • Knowledge and experience ordering HD Truck and Heavy Equipment parts.
  • Proficient in identifying the correct parts based on specifications, part numbers, and manufacturer requirements.
  • Skilled in using parts catalogs, online ordering systems, and supplier databases.
  • Demonstrated skills in Microsoft Office.
  • Experienced in organizing, scheduling, and managing communication effectively through Outlook.
  • Knowledgeable and experienced in maintaining accurate records of parts orders, inventory levels, and order history.
  • Experience in administering the operations and coordination of 0–8-ton vehicle fleets.
  • Ability to work in a fast-paced environment and coordinate with maintenance teams and mechanics.
  • Demonstrated commitment to Health & Safety.
  • Capable of working alone with minimal supervision.
  • Strong attention to detail.
  • Able to effectively communicate both verbally and in writing.
