About the job

We are looking for a Sales and Charter Assistant to join our office London.

The Sales and Charter Assistant will be responsible for supporting the brokers on the day-to-day business activities and perform a variety of administrative functions.

Main responsibilities (not limited to)

General duties:

  • Organise meeting rooms
  • Manage the mailings of charter magazine “Horizons” and The Yacht Collection
  • Provide an excellent customer service to internal and external clients (and follow-up with external clients)
  • Support the brokers in their daily tasks including scheduling appointments and travel arrangements
  • Assist with managing reception duties (telephone, welcoming clients..) in a professional manner : liaising with the IT team, keeping the kitchen stocked, ordering office furniture/equipment etc..
  • Prepare presentations
  • Assist with marketing efforts including (but not limited to) events, partner networks and campaigns.
  • Assist the marketing with boat show preparation
  • Attend boat shows if needed

Sales duties

  • Create Central Listing Proposals
  • Assist sales brokers with entering all client information into company CRM system
  • Create and manage central listing reporting
  • Assist with LOI and Contract support

Charter duties

  • Create yacht selection proposals for clients
  • Correspond as directed with clients
  • Prepare charter contracts
  • Track and disburse all charter payments, commissions and referrals. Create and maintain a payment calendar, liaising with the finance team.
  • Assist charter brokers with entering all charter contracts and client information into company database and CRM system
  • Create itineraries
  • Work on proposals for clients with information on cruising destinations, activities and cruising locations
  • Correspond to Captains and Charter Managers as directed

Qualifications and Skills

Essential skills

  • Excellent communicator and interpersonal skills
  • Self-motivated
  • Ability to look for business opportunities with the company and the broader market
  • Proficient in Microsoft office

Experience

  • Minimum of two years in the similar position (preferably dealing with high profile clients)
  • Maritime ( yachting) industry experience is a plus

Qualifications

  • Bachelor's Degree or equivalent experience
