The Ivy Medical Group is looking for either 1 x full time or 2 x part time receptionist(s) to join the team to provide a high level of Reception and administrative services to patients, doctors, nurses and other members of the practice team, ensuring all processes are carried out to practice standard and policy. Our practice is a friendly, interesting and rewarding place to work giving a high level of care to our patients.

Hours required are:

  • Monday 08:00 - 18:30
  • Tuesday 08:00 - 18:30
  • Friday 08:00 - 18:30

If the job is full time then the days will be 9.5 hours per day with 1 hour unpaid lunch. If the job was shared over 2 successful candidates then the shifts could be split into half days: 08:00 - 14:00 or 13:30 - 18:30.

Main duties of the job include:

  • Maintaining and monitoring the practice appointment system
  • Processing personal, telephone and e-requests for appointments
  • Answering incoming phone calls, transferring calls or dealing with the caller's request appropriately
  • Processing appointment requests for today/future appointments from patients by telephone and in person
  • Signposting patients to the correct service
  • Initiating contact with and responding to requests from patients, team members and external agencies
  • Receiving patients, consulting with members of the practice team
  • Handing completed repeat prescriptions/pathology requests to patients and checking names and addresses
  • Covering all reception positions as necessary
  • Actioning requests for patient medication via telephone systems, tasks and emails
  • Requesting, updating and completing query messages on system logs
  • Recording, updating and completing patient tasks within the clinical system by liaising with the relevant persons for information
  • Sorting all incoming patient-related mail
  • Scanning patient-related documents into the clinical system
  • Sending information to patients via AccuRx text messages
  • Checking and processing new patient registrations
  • Liaising with teams for network/IT/phone support
  • Pulling/filing paper notes for surgeries and updating as necessary
  • Taking action as directed by other team members

Job responsibilities:

To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing of information and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.
