Main duties of the job

  • Ensure an effective and efficient reception service is provided to patients and any other visitors to the practice.
  • Deal with all general enquiries, explain procedures and make new and follow-up appointments in line with current processes.
  • Receive and process eConsult submissions, ensuring that all relevant information is included. Review attachments to ensure clarity and suitability before uploading to the EMIS system.
  • Complete manual eConsults for patients who cannot submit themselves.
  • Explain practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
  • Ensure that all new patients are registered onto the computer system promptly and accurately.
  • Receive and make telephone calls as required. Transfer calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
  • Take requests for home visits, ensuring careful recording of all relevant details and where necessary refer to Duty Doctor.
  • Advise patients of relevant charges for private (non-General Medical Services) services, accept payment and issue receipts for same.
  • Enter patient information onto the computer as required, including change of patient details e.g. address and telephone numbers.
  • With each patient contact reaffirm contact details on records, including home and mobile numbers, home and email address. Update records as appropriate.
  • Retrieve and re-file records as required, ensuring strict alphabetical order is adhered to.
  • Ensure records are kept in good repair with all necessary information on the outside cover clearly visible.

Person Specification

Qualifications

  • Essential Maths and English GCSE/equivalent NVQ Level 3 (or equivalent experience).
  • Evidence of Team working.
  • Ability to work independently and with minimal supervision.

Experience

  • Good verbal and written communication skills.
  • Good organisational and facilitation skills.
  • Essential telephone call handling.
  • Understanding of community services, caseloads, clinics and systems of working.
  • Desirable Previous experience of Emis or system one.
  • Using data extraction.
  • Clinical knowledge.
  • Preparing excel spreadsheets.
