We are now looking for a Practice Administrator & Coordinator to play a key role in keeping our practices running smoothly and supporting our management team and wider staff.
About the role
This is a varied and important role at the heart of the practice. You’ll support day-to-day operations and help coordinate activity across administration, HR, finance, marketing, IT, and patient services. You’ll work closely with the Practice Manager, Assistant Practice Manager, and Practice Owner, helping ensure the practice operates efficiently so our team can deliver outstanding patient care.
Key responsibilities
- Administration & Operations
- General administrative support to keep the practice running smoothly
- Updating policies and procedures
- Booking training, meetings, and taking minutes
- HR & Team Support
- Managing rotas, leave requests, and on-call rotas
- Acting as a point of contact for sickness and early-morning team issues
- Supporting recruitment, onboarding, and inductions
- Finance
- Paying invoices and banking
- Accounts reconciliation
- Preparing monthly accounts for management review
- Marketing
- Updating the practice website
- Creating newsletters and social media content
- Supporting and facilitating open days
- IT, Facilities & Compliance
- Basic IT troubleshooting and liaising with external providers
- Coordinating servicing and maintenance of equipment
- Supporting CQC systems and compliance
- Continuing professional development study out of contracted hours (approx 10 hours per year)
- Support projects such as refurbishments or new systems
- Patient Support
- Assisting management with patient complaints and follow-ups
- Helping improve communication with patients
Working hours
40.35 hours per week
Monday–Thursday 7:45am–5:20pm, Friday 7:45am–3:15pm
36-hour option available Monday later start or earlier finish or a later start on Tuesday, Wednesday or Thursday
On-call point-of-contact duty between the hours of 6.30am and 7.00am approx twice per week (available via telephone) and Saturdays once every 3rd week.
Occasional late evenings and Saturdays for open days (up to 4 per year).
