The role
We have an exciting opportunity to join our team at our Head Office in Chesterfield. A personable, highly organised, and professional individual, with a warm, welcoming manner and excellent communication skills, you will be at the heart of the office - keeping everything running smoothly and creating a fantastic first impression for everyone who visits or calls.
Responsibilities include:
- Reception
- Greeting visitors and team members in a friendly and professional manner, signing them in / supplying with visitor's badges.
- Answer and direct phone calls, take messages, and provide information as needed.
- Manage the reception area, ensuring it’s organised and presentable at all times.
- Ensuring that Head Office is presentable and welcoming for colleagues and visitors.
- Dealing with post, incoming and outgoing, franking, arranging couriers.
- Managing the Reception inbox and redirecting emails as appropriate.
- Dealing with deliveries and working with AECOM Reception to ensure that these are collected promptly.
- Reporting weekly visitors and fire marshals to AECOM.
- Ordering buffet lunches.
- Book hotels for Senior Management when visiting head office for meetings.
- Booking parking spaces for visitors.
- Manage the internal phone directory ensuring that this is accurate and up to date for all regions and central operations.
- Handling staff parking permits / scratch cards.
- Booking meeting rooms at Head Office and our other sites.
- Deputising for the Office Manager and assisting with the dealing with day to day running of Head Office.
- Programming entry fobs and updating records and ordering car parking passes for new starters and returning them for leavers.
- Mailing out ID cards to new starters.
- Reporting any issues in Head Office to the relevant department, for example facilities, and ensuring that these are dealt with and any repairs completed.
- Monitor and replenish stationery, janitorial, cleaning and kitchen supplies, working with our external vendors.
- Daily maintenance of the coffee machine, cleaning and flushing, refilling and ordering supplies.
- Maintain and update the Royal Court seating plan.
- Provide the Executive Assistant to the CEO with ad-hoc admin tasks as and when required including but not limited to: Venue searching, Project support, Updating the company structure chart, Arranging gifts for staff.
- Monitor the references inbox and provide support to the People Team with completing a minimum number of references on a daily basis.
- Supporting other functions with ad-hoc admin tasks as and when required.
