Celyn Vet Group have three, well-established Veterinary practices based in Holywell, Prestatyn & Abergele.

Our well-equipped practices include 2 vet consult rooms, a theatre and prep room, ultrasound, digital and dental x-ray, Idexx lab facilities, and multi-parameter monitoring equipment. You’ll be joining a skilled team of 1 Senior Vet Surgeon, 3 Vet Surgeons, 1 Head RVN, 4 RVNs, 1 ACA, and 5 Receptionists, all supported by our Practice Director.

How You’ll Make a Difference

We are seeking an organised, personable Receptionist/Administrator to join our team at Celyn Vet Group on a part-time, 12-month fixed term basis. You will be primarily based at our Holywell premises, but may be required to work at either of our other two branches in Prestatyn and Abergele during periods of annual leave. The role is varied, primarily customer facing. This includes:

  • Welcoming clients and their pets
  • Scheduling appointments
  • Taking payments
  • Managing client records
  • Maintaining the cleanliness of reception and consulting areas
  • Supporting our clinical and client care teams from an administration point of view
  • Managing tasks such as insurance claims and debt control efficiently and compassionately

General Responsibilities Include

  • Greet clients and their pets with a warm and friendly demeanour
  • Schedule appointments and manage the clinic's diary
  • Answer phone calls and respond to client inquiries
  • Collect payments and process invoices
  • Maintain cleanliness and organisation of the reception area
  • Assist with filing, data entry, and other administrative tasks as needed
  • Process and submit veterinary insurance claims and liaise with insurance companies, clients, and internal teams
  • Ensure accuracy and compliance with insurer requirements
  • Maintain organised and up-to-date claim records
  • Provide clear, empathetic communication to clients throughout the claims process
  • Support the management team with debt control processes

This is a part-time role working 20 hours per week. You will be working a full day on a Thursday between our opening hours of 8am-7pm on the reception desk along with rotational Saturday morning working (8am-midday) - currently on a 1 in 5 basis. Shift pattern for administrative support hours will be discussed at interview stage.

Previous experience in a veterinary or medical setting would be advantageous, but full training will be provided for the right candidate. Full UK Driving license is also essential to be able to travel across the 3 sites.
