The Fixed Asset verification project is a group wide transformation project, to verify & tag all individual moveable assets of GBV £5k or over, within the group estate. IVCE teams will complete the physical tagging of assets, during physical clinics visits, for clinics with more than a defined number of assets. For clinics with lower volumes of assets, a desktop team will manage the tagging process with support from the clinics.
The Administrative Assistant plays a central role in supporting the FaST FAR Transformation Project by enabling strong engagement with IVCE clinics and in‑country teams. The role is responsible for coordinating communications with clinics, managing schedules for briefings and drop‑in sessions, and ensuring timely distribution of key documentation and surveys. It also supports translation coordination and approval processes, monitors responses and issue resolution, maintains daily activity tracking, and provides general administrative support to the Project Lead and Project Manager to ensure smooth project delivery. This role is being offered on a 5 month fixed term contract, terminating July 2026.
Key Accountabilities / Responsibilities
- Preparing and sending all comms emails & Fixed Asset Registers to clinics, following a defined strategy and approach
- Managing any issues that arise from the above emails
- Managing calendars for clinic briefings and drop‑in sessions
- Preparing comms translations and managing in‑country team approvals
- Emailing post‑completion surveys to clinics and managing returns and reporting
- Completing tracker daily, for areas of responsibility
- Support the FaST FAR Transformation Project Lead and Project Manager as required
Experience / Qualifications
- Proven experience in an administrative, PA or office support role
- Strong organisational and time management skills, with the ability to juggle multiple priorities
- High level of accuracy and attention to detail
- Confident handling of email, calendars, documents and records and strong Microsoft Office (Outlook, Word, Excel, PowerPoint) skills
- Experience managing information, files and records in line with agreed processes
- Clear, professional written and verbal communication with experience acting as a first point of contact for a function or team
- Confidence liaising with stakeholders at all levels and ability to handle queries sensitively and appropriately
- Highly organised, reliable and dependable, proactive and able to work independently
- Calm under pressure, with a solution focused mindset and thrives in a fast‑paced, constantly changing environment – flexibility is key
