About the role
As a Training Coordinator you will provide efficient coordination of Itec commercial and Government funded courses and programmes, including timely and accurate administration, CRM recording and related internal / external communication support. This post will specifically support the commercial sales team with respect to Open Programme short courses as well as bespoke Group Training activity. Contributing to the overall efficiency and target achievement for Itec England.
Your impact:
- Work closely with the Sales team, England Manager and other team members to coordinate course and programme delivery for group training and individual courses.
- Responsible for managing the training inbox, responding to client enquiries, and identifying new training needs or potential opportunities to share with the relevant team members.
- Act as the initial point of contact for clients and the Associate Trainer team.
- Manage enquiries, schedule pre-course briefing calls, arrange course bookings, and facilitate logistics to enable the smooth running of external training courses and programmes.
- Process and confirm training bookings by preparing and issuing confirmation letters and invoices, joining course links, managing and recording delegate lists, and collating post-course evaluations.
- Support the Sales team in researching prospective clients, identifying new opportunities and forwarding relevant leads for follow-up.
- Accountable for ensuring materials for all courses are up to date and saved accurately in the designated folders to ensure easy access, working closely with the central marketing team to maintain a course catalogue of materials.
- Responsible for collating delegate feedback for all course bookings in a timely manner, identifying sales leads, inputting into the CRM system (Salesforce) and sending on to relevant team members for review and follow up.
- Accountable for issuing invoices to clients and resolving any discrepancies effectively and promptly with the Finance team for accurate income tracking.
- Responsible for checking supplier invoices and approving trainer invoices on a weekly basis for the England Manager.
- Provide the team with course booking and delegate reports on a weekly and monthly basis.
- Attend regular team meetings to plan upcoming course delivery, promotion, and related activities for commercial training programmes and relevant Government funded apprenticeships.
- Build and maintain strong working relationships with clients and Associate Trainers to ensure smooth coordination and programme delivery.
- Collaborate with the marketing team to promote upcoming open programme courses and provide new scheduled courses for website updates.
- Responsible for ensuring the CRM system is updated in a timely and accurate manner.
