To provide comprehensive administrative support to the Apprenticeship Delivery Team, ensuring the efficient coordination of learner activity, compliance processes, qualification bookings, and data integrity. The role supports assessors, learners, employers, and managers to ensure contractual compliance and high standards of service delivery.

Your impact

  • Coordinate and book learner inductions, ensuring all documentation and systems are prepared in advance.
  • Monitor learner attendance at inductions and scheduled sessions.
  • Manage cancellations and rescheduling in a timely and professional manner.
  • Maintain accurate learner records and update Smart Assessor and Itec Reports accordingly.
  • Work collaboratively with EWS team, Assessor and Performance Managers to book and monitor Essential Skills Wales (ESW) qualifications.
  • Coordinate and book external examinations.
  • Arrange and facilitate invigilation in line with awarding body regulations as required.
  • Track examination results and communicate outcomes to relevant staff.
  • Ensure all examination and qualification processes remain compliant with awarding body and audit requirements.
  • Support learners and employers to access and use internal e-portfolio system.
  • Troubleshoot and resolve e-portfolio system errors, liaising with IT support or system providers where necessary.
  • Monitor system usage to ensure assessors maintain timely learner reviews and evidence uploads.
  • Monitor assessor compliance against key performance indicators, including timely reviews and induction documentation completion.
  • Ensure learner files and digital records are complete, accurate, and audit ready.
  • Support the team in meeting contractual requirements related to starts, attendance, reviews, and completions.
  • Escalate compliance concerns to the Performance Manager or Lead IQA where necessary.
  • Maintain regular and professional communication with learners, employers, assessors, and managers.
  • Respond promptly to queries via telephone and email.
  • Support employer engagement activities through the learner journey.

Previous administrative experience

  • Strong organisational skills with the ability to manage multiple priorities.
  • Experience using Microsoft Office and Learner Management Systems.
  • Excellent written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Safeguarding knowledge and understanding.

Desirable

  • Previous administrative experience within education, training, or apprenticeship environments.
  • Previous experience working with apprenticeships programmes or funded training.
  • Experience using e-portfolio systems.
