This role is essential to the smooth operation of the Procurement team within the organisation, which is a statutory Board of the Isle of Man Government.
The Procurement Assistant will support the team by ensuring the efficient procurement of goods and services across the organisation.
This position is based at Ballacottier, although the successful candidate may be required to work at any location.
Key responsibilities include raising purchase orders, liaising with suppliers and contractors, and ensuring compliance with procedures and financial regulations.

The Procurement Assistant will help maintain vendor qualification systems and assist in the continuous improvement of procurement practices.

Job Duties
- Process all staff off-island travel requests
- Convert requisitions to orders in a timely manner
- Maintain the vendor qualification system
- Administer credit card purchases in accordance with organisational procedures
- Administer and update select lists
- Ensure contractor and supplier insurances are current and compliant
- Manage the procurement portal, exemption portal, Share Point, contracts register, and procurement activities system
- Evaluate and score pre‑qualification questionnaires
- Assist in identifying training needs and implementing training for internal customers
- Conduct spend analysis and compile operational reports
- Take minutes of procurement meetings and distribute accordingly
- Maintain central files on all procurement matters
- Build relationships and communicate effectively with stakeholders at all levels
- Provide information and advice on Navision modules
- Represent the section at meetings and functions as required
- Encourage teamwork within the section and other departments
- Handle any other procurement administrative tasks as required
Job Requirements
- 5 GCSEs at Grade C or above (or equivalent)
- Self‑motivated, reliable, and flexible
- Ability to work effectively both individually and as part of a team
- Strong numeracy, verbal, and written communication skills
- Experience working in an office environment and using Navision or a comparable system
- Computer literate with a working knowledge of Microsoft Office
- Confidence in enforcing Financial Regulations with internal customers
- Confidence liaising with external contractors and consultants
- Understanding of the materials and services used by the organisation
- Strong organisational and time management skills with attention to detail
