ITC Infotech is looking for a Windows Server Upgrade PM to join our team in Edinburgh, UK.

Role Overview

Windows Server OS 2012 and 2016 is going End-of-Life in January 2027. A project has been established to ensure all 2,600 Windows servers running Windows OS 2012 or 2016 are upgraded to a supported version by January 2027, or decommissioned if no longer in use. The Project Administrator will play a pivotal role in supporting the planning and co-ordination of Windows server upgrade elements within the organization, as well as facilitating weekend upgrade command center meetings. This position requires strong organisational skills, attention to detail, and the ability to work collaboratively with technical and non-technical stakeholders to ensure the successful delivery of upgrade initiatives.

Key Responsibilities

  • Key point of contact between the project’s Windows technical leads and server/application stakeholders for:
    • Verification of server inventory data and required configuration information with application owners.
    • Server upgrade planning (upgrade path, dependencies, constraints and timeline).
    • Proactive follow‑ups with server/app owners where there are information gaps in the server inventory.
    • Facilitation of the upgrade Command Centre calls: mid‑week or weekends.
    • Scheduling of regular Office Hours sessions for application owners.
    • Assisting with other project‑related communications, as required.
    • Co‑maintain the upgrade tracking system to ensure application‑owner stakeholder feedback is logged and reviewed as part of the server upgrading planning, and server upgrade dates are accurately reflected in the tracker and communicated to the application owners.
    • Coordinate meetings, workshops, and communications between application‑owner stakeholders as required to plan and implement the server upgrades.
    • Support the primary PM with project documentation, reporting and tracking of project milestones to ensure timely completion of upgrade tasks.
    • Support the identification and mitigation of risks and issues related to server upgrades.
    • Ensure compliance with organisational policies, IT standards, and best practices throughout the upgrade process.

Required Skills & Experience

  • Proven experience in project administration or co‑ordination, preferably within IT infrastructure or server upgrade projects.
  • Excellent organisational and time management skills, with the ability to prioritise tasks effectively.
  • Strong written and verbal communication skills, with the ability to liaise confidently across multiple teams.
  • Competency in project management software (e.g., Microsoft Teams, Microsoft Project or SmartSheets, Excel, SharePoint).
  • Experience facilitating technical Command Centre meetings/calls to ensure the runbook scripts are followed and prompt escalation/navigation of issues.
  • Ability to work independently and as part of a collaborative team.
  • Attention to detail and a proactive approach to problem‑solving.

Qualifications

  • Degree or diploma in business administration, project management, information technology, or a related field.
  • Relevant project management certification (e.g., PRINCE2, PMP) is advantageous.

Reporting Line

The Project Administrator will report directly to the Project Manager responsible for the Windows server upgrade programme.

Location & Working Hours

Based in our Edinburgh, with standard working hours of 09:00–17:30, Monday to Friday/Saturday. Flexibility to regularly facilitate out‑of‑hours technical command center meetings during the weekend upgrades.
