The Team
The Operations team is a central function that provides the business what it needs to operate on a day-to-day basis. This ranges from ensuring there are the right facilities and equipment available at the right time to making sure our systems are working effectively and efficiently. The team develops and maintains our policies and processes to enable us to deliver high quality work to our clients that are also compliant with the requirements of our sector and support our values. It’s a small team so we work closely to support and backstop each other when required and work with the other business units to implement change and improvements. The team also plays a crucial role to support our Executive Committee and Board by coordinating monthly reporting and actions and works flexibly to support the evolving needs of the business and our clients.
The Role
The role of Business Operations Lead is responsible for providing vital support to our Executive Committee (ExCo) and Board, supporting the continuous development and operation of health and safety functions and coordinating policy management. The role is responsible for facilitating a clean, safe and inclusive working environment for staff and visitors through day-to-day office management.
Main duties, responsibilities and expected outputs
- Company Governance (Board and Executive Committee) – 30%
- Provide proactive support to the Executive Committee, Board and Managing Partner to support the delivery of the strategy.
- Diary management, organisation of Board and ExCo meetings, arranging other appointments as required.
- Coordination and preparation of monthly and quarterly reports and agendas.
- Providing coordination support to meetings, filing, agendas, taking and circulating meeting minutes and following up on actions monthly and quarterly.
- Ad hoc support to the Managing Partner including calendar support, liaising with external stakeholders and travel bookings.
- Health & Safety – 20%
- Management and development of Fire evacuation, First Aid & DSE procedures and processes to monitor and prevent accidents and incidents in the workplace.
- Develop and manage the day-to-day operation of Fire evacuation, First Aid & DSE policies, ensuring compliance with current H&S legislations.
- Manage First Aid and Fire Warden teams, including regular communications, overview of rotas, equipment checks, up-to-date training and compliance.
- Office & Facilities Management – 20%
- Preparation of the operational budget lines.
- Support team members with company events including regular social events and annual celebrations.
- Day-to-day facilities supplier contract liaison for operations and support.
- Management and monitoring of Facilities and Admin mailboxes.
- Compliance and Policy Management – 20%
- Coordinates and maintains a compliant policy library with client-aligned policies, training, and audit processes in line with ISO 9001 standards.
- Provide advice and assistance to staff with the development, implementation and maintenance of compliant policies and procedures.
- Conduct audits and reviews to ensure execution standards in line with Itad’s Business Management Manual.
- Company communication and events – 10%
- Lead regular inductions and guidance on behalf of the Business Operations team.
- Produce and maintain the Itad Main Page SharePoint and Business Operation SharePoint sites.
- Provide oversight of the weekly staff newsletter publishing relevant key information from internal and external sources.
