The Team

The Operations team is a central function that provides the business what it needs to operate on a day-to-day basis. This ranges from ensuring there are the right facilities and equipment available at the right time to making sure our systems are working effectively and efficiently. The team develop and maintain our policies and processes to enable us to deliver high quality work to our clients that are also compliant with the requirements of our sector and support our values. It’s a small team so we work closely to support and backstop each other when required and work with the other business units to implement change and improvements. The team also play a crucial role to support our Executive Committee and Board by coordinating monthly reporting and actions and work flexibly to support the evolving needs of the business and our clients.

The Role

The role of Business Operations Lead is responsible for providing vital support to our Executive Committee (ExCo) and Board, supports the continuous development and operation of health and safety functions and coordinates policy management. The role is responsible for facilitating a clean, safe and inclusive working environment for staff and visitors through day to day office management.

Main duties, responsibilities and expected outputs

  • Company Governance (Board and Executive Committee): (Time Percentage - 30%)
    • Provide pro-active support to the Executive Committee, Board and Managing Partner to support the delivery of the strategy
    • Diary management, organisation of Board and ExCo meetings, arranging other appointments as required.
    • Coordination and preparation of monthly and quarterly reports and agendas, liaising with teams across the company to ensure submission of required information in a timely manner.
    • Providing coordination support to meetings, filing, agendas, taking and circulating meeting minutes and following up on actions monthly and quarterly.
    • Coordination of Partner SDR reviews and check-ins, ensuring completion of appropriate paperwork and coordination of 360 reviews.
    • Acting as liaison between internal and external stakeholders in relation to the Board and its committees.
    • Ad hoc support to the Managing Partner including calendar support, liaising with external stakeholders and travel bookings.
    • Creating of summary docs to the business e.g. Exco summary, Management of Board and Exco report completion, Creation and management of action log, Assistance on Company Secretary queries.
    • Develop summary of key messages from Exco meetings for all staff through Exco updates and exco drop in meetings.
  • Health & Safety: (Time percentage - 20%)
    • Management and development of Fire evacuation, First Aid & DSE procedures and processes to monitor and prevent accidents and incidents in the workplace.
    • Develop and manage the day to day operation of Fire evacuation, First Aid & DSE policies, ensuring compliance with current H&S legislations.
    • Undertake risk assessments for DSE, fire evacuation & first aid, identify risk to the business and mitigate risk by implementing recommendations and recording actions.
    • Manage First Aid and Fire Warden teams, including regular comms, overview of rotas, equipment checks, up to date training and compliance.
    • Develop and maintain Fire evacuation, First Aid & DSE reporting processes and process mapping.
    • Liaising with suppliers for annual H&S checks and ensuring they are carried out in a timely manner and to our compliance needs.
  • Office & Facilities Management: (Time percentage – 20%)
    • Preparation of the Operational budget lines, including analysing quarterly financial actuals and identifying opportunities for cost savings.
    • Support team members with company events including regular social events and annual celebrations.
    • Day to day facilities supplier contract liaison, for operations and support.
    • Coordinating maintenance of office fixings & equipment and ensuring they are fit for purpose.
    • Regularly review cleaning and consumables suppliers for quality control and cost effectiveness.
    • Management and monitoring of Facilities and Admin mailboxes, cascading relevant messages and dealing with internal requests.
    • Oversee provision of stationery and office based purchases, reviewing purchases and suppliers to ensure best value for money.
  • Compliance and Policy management: (Time percentage – 20%)
    • Co-ordinates and maintains a compliant policy library with client-aligned policies, training, and audit processes in line with ISO 9001 standards.
    • Provide advice and assistance to staff with the development, implementation and maintenance of compliant policies and procedures.
    • Identify potential gaps and weaknesses in Itad’s policies and processes and develop preventative and remedial measures.
    • Liaise with the HR team to ensure mandatory regulatory training is provided at induction and ongoing as required for all staff.
    • Conduct audits and reviews to ensure execution standards in line with Itad’s Business Management Manual.
  • Company communication and events: (Time percentage - 10%)
    • Lead regular inductions and guidance on behalf of the Business Operations team.
    • Produce and maintain the Itad Main Page SharePoint and Business Operation SharePoint sites.
    • Providing oversight of the weekly staff newsletter publishing relevant key information from internal and external sources.
    • Supports the wider Operations team by promoting use of appropriate technologies and maintenance software to streamline work and aid inclusion.
    • Supports and facilitates the coordination and delivery of Company Business Days.
