To manage and ensure high-standard reception operations at the London Fashion School, the role involves overseeing and organising various administrative and logistical tasks.
Key purpose of the role:
- To ensure the timely opening and closing of the school, maintaining security by following procedures; monitoring logbook; regularly monitor the coming in and coming out of the School.
- To greet and welcome visitors, providing essential information and orientation, managing visitor sign‑ins and sign‑outs, and maintaining accurate visitor records.
- To oversee the attendance of students and teachers, recording student attendance occasionally using SINAPTO.
- To print safety and labelling signage for the Student and Academic Services Department during exams and for the Facility Team.
- To operate the switchboard, manage incoming calls, take detailed notes, and forward messages to appropriate offices.
- To provide general support including handling shipments, typing documents, and performing internal translations.
- To offer support to students by providing general information and assistance as needed.
- To handle mail and manage the shipment process for both national and international couriers.
- To organise national and international business travel for staff, including flights, hotels, and taxis, and manage diaries for directors and managers as required.
- To assist the Facilities Manager in coordinating meetings and events, managing facilities‑related issues, and maintaining logs.
- To cover library duties as required, including opening and closing, managing software, lending books, and addressing student queries.
- To manage the storeroom, organise stationery orders, and liaise with suppliers to fulfil business needs.
- To keep delivery boxes organised on dedicated shelves in the storage room.
- To establish and maintain inventory systems for stationery, kitchen, and first aid supplies, regularly checking inventory levels and replenishing as needed.
- To log and securely store lost and found items.
- To support administrative tasks for the Student and Academic Services Department.
Skills and competencies:
- Bachelors Degree (preferred)
- Excellent knowledge of the English language spoken and written
- Email and phone etiquette knowledge
- Good knowledge of the office package
- Good basic knowledge of Mac systems
- Team work skills
- Excellent interpersonal and communication skills
