We are seeking a Mobilisation Manager who thrives on structure, documentation, and cross-functional coordination. In this role, you will support the mobilisation and standardisation of Workplace Experience across EMEA sites, ensuring consistent processes, compliant documentation, and efficient onboarding of new locations. You will work closely with in-country ISS teams to gather, validate and upload key information, maintaining clear oversight of each site's mobilisation status. You will drive compliance, track progress on Monday.com, and close gaps through strong stakeholder engagement. You will play a key role in maintaining documentation quality, supporting operational admin, and ensuring that every mobilisation is delivered with accuracy and consistency.
Key Responsibilities
- Coordinate mobilisation plans and maintain the mobilisation tracker.
- Gather, verify and upload key documentation, including HSEQ evidence, fire risk assessments and commercial proposals.
- Liaise with in-country ISS teams to identify gaps, risks and required actions.
- Track compliance across all sites using Monday.com and prepare progress updates for the EMEA team.
- Support documentation management, SharePoint filing and general mobilisation admin.
- Process commercial paperwork such as POs and credits.
- Ensure consistent standards and alignment with Workplace Experience requirements across all EMEA mobilisations.
- Contribute to operational tasks that ensure smooth delivery from mobilisation through to handover, end-to-end delivery satisfaction, with the chance to "close the loop".
- Autonomy to shape how you achieve outcomes, supported by an engaged and accessible manager.
- International exposure and cross-cultural stakeholder engagement.
- Use of modern tools including Monday.com, with a strong focus on process and compliance.
- Flexible working (largely home-based with a weekly London meet-up).
- Join a small and dynamic team including sustainability and data specialists.
- Strong Facilities Management (FM) background, with understanding of risk assessments, engineering services, FM terminology and operational procedures.
- Demonstrated experience in mobilisation of client sites/buildings and transitional roadmaps.
- Solid Health & Safety knowledge and experience managing H&S compliance.
- High level of IT literacy, confident using Microsoft Office, spreadsheets and Monday.com (or similar tools).
- Comfortable managing documentation, reporting, commercial paperwork and SharePoint filing.
