We are seeking a highly organised and customer-focused FF&E Programmer to join our team, acting as the first point of contact for client work orders on a government contract. This role plays a critical part in coordinating furniture, fixtures and equipment activity, ensuring requests are managed efficiently from receipt through to completion.

The role involves working closely with a range of ISS departments, as well as external suppliers and contractors, to support the delivery of FM solutions and maintain high service standards. You will take ownership of work orders, ensure contractual processes are followed, and contribute to maintaining service excellence within a busy and fast-paced environment.

Key Responsibilities
  • Manage FF&E quotations from request through to submission for approval
  • Submit approved quotes to the government client and process purchase orders
  • Use Maximo to manage jobs from creation through to completion
  • Liaise with contractors and suppliers to chase updates, documentation and completion details
  • Process invoices and receipts through Coupa in line with contract requirements
  • Handle a high volume of work orders, typically between 20-67 jobs per day
  • Act as a central coordination point between internal teams, suppliers and contractors
  • Maintain accurate records and ensure all work complies with contractual processes

Experience using CAFM systems (Maximo preferred). Comfortable managing high-volume workloads in a fast-paced environment. Strong coordination skills across contractors, suppliers and internal teams. Confident handling quotes, purchase orders and approval processes (government contract exposure beneficial). Resilient and adaptable, with the ability to work effectively within a challenging contract environment. Strong communicator with a polite, professional and confident manner via phone and email. Team player with a respectful and collaborative approach. Quick learner, able to pick up new systems and processes quickly.
