We are looking for a proactive and detail-oriented individual who will act as a central coordination and communication point for the project team. The role will be primarily focused on the Critical Security Infrastructure (CSI) Project, with additional support to business-as-usual activities as required, including site attendance and stakeholder engagement.

Key Responsibilities

  • Manage and maintain project documentation, including plans, reports, and relevant contractual records.
  • Coordinate project meetings, manage calendars, take minutes, and track actions to completion.
  • Support budget and resource monitoring through cost tracking, expense processing, and purchase order management.
  • Act as a central communication hub between internal teams, external stakeholders, and suppliers.
  • Monitor project progress and assist in maintaining accurate records and reporting.
  • Ensure project activities comply with agreed standards, methodologies, and governance requirements.
  • Provide administrative and logistical support to Project Managers across the CSI project.
  • Support business-as-usual project and facilities management activities as required.

Professional and Personal Competencies/Qualifications

  • Experience in an administrative or similar role; project or facilities management experience is desirable.
  • Experience in public or private sector environments is beneficial.
  • High proficiency in Microsoft Office, particularly Excel, and familiarity with project management software (e.g. MS Project).
  • Experience using systems such as Maximo and Tririga is desirable.
  • Strong understanding of project lifecycles, risk management, and documentation control.
  • Excellent verbal and written communication skills, with the ability to engage stakeholders at all levels.
  • Strong organisational skills, attention to detail, and ability to manage multiple priorities in a fast-paced environment.
  • Demonstrated commitment to embedding a safety-first culture.
  • Willingness to travel and attend sites to support Project Managers at meetings.
