As a primary point of contact for staff, visitors, and contractors, this role requires an individual who is exceptionally customer‑service focused. Whether managing enquiries, coordinating large-scale mail activity, or resolving delivery issues, you will uphold the high standards expected within a professional, secure, and fast-paced environment.

Key Responsibilities

  • Receive, inspect, and securely process all incoming mail, parcels, and courier deliveries.
  • Conduct sorting, preparation, and digital scanning of specified correspondence.
  • Operate safely within the loading bay, including forklift use for palletised or heavy goods.
  • Complete scheduled internal mail runs to distribute physical post and sensitive materials.
  • Collect, prepare, and process outgoing mail and parcels from departments.
  • Manage franking operations and dispatch domestic and international items via approved courier platforms.
  • Respond to telephone enquiries with clear, calm, and helpful updates on mail tracking and delivery status.
  • Resolve delivery discrepancies professionally, providing timely updates to staff and stakeholders.

Professional and Personal Competencies/Qualifications

  • Strong customer-service ethos with experience in corporate or high-pressure environments.
  • Confident verbal communicator with excellent interpersonal skills for in-person and telephone interactions.
  • Clear, professional written communication with the ability to maintain accurate Excel and Outlook logs.
  • Able to obtain and maintain BPSS and SC security clearance.
  • Holds, or is willing to gain, a valid Forklift Truck Driving Licence.
  • Smart, professional appearance with a proactive, “can-do” attitude.
  • High integrity and discretion when handling sensitive or classified information.
  • Resourceful problem-solver able to investigate missing items and resolve delivery issues.
