We are seeking a Workplace Coordinator to join a job share arrangement, working Thursday and Friday from 8:00am to 4:30pm within a shared tenancy office environment. This is a hands-on role supporting the smooth day-to-day operation of a busy workplace with approximately 98 desks., We are looking for a professional and customer-focused individual who can deliver a world-class front of house and facilities management service. The successful candidate will take ownership of a variety of responsibilities across facilities, hospitality, stakeholder engagement and operational support, while acting as a key point of contact for workplace-related matters.

Key Responsibilities

  • Deliver a professional front of house and workplace experience for employees, visitors and contractors.
  • Support the day-to-day operational management of the site and ensure the smooth running of workplace services.
  • Act as the primary contact for facilities management-related queries and issues.
  • Review and monitor helpdesk work orders, driving completion within agreed service levels.
  • Escalate building and facilities issues to the relevant facilities management teams when required.
  • Manage meeting room bookings and hospitality requirements using workplace booking systems.
  • Support visitor management, contractor management and security pass administration in line with agreed processes.
  • Build and maintain positive relationships with stakeholders while providing excellent customer service.
  • Previous experience within a hospitality, front of house, workplace, or facilities management environment.
  • Experience using workplace booking systems such as Condeco, or similar facilities management platforms.
  • Strong IT skills, including Microsoft Office and diary management systems.
  • Excellent written and verbal communication skills.
  • Strong customer service skills with the ability to engage confidently with senior stakeholders.
  • Self-motivated with the ability to work independently and manage multiple responsibilities.
  • Proven problem-solving skills and the ability to resolve issues effectively.
  • Calm, professional and level-headed when working under pressure.
