We are seeking a highly organised and proactive Workplace Coordinator to support the smooth running of a large, corporate office environment. This role plays a key part in ensuring seamless day-to-day operations, delivering exceptional customer service, and maintaining a high-quality workplace experience for all employees and visitors. We are looking for someone who thrives in a fast-paced facilities environment, working closely with the on-site Facilities Manager, cleaning and housekeeping teams, and office-based clients. The successful candidate will uphold the core values of ISS and WSP, contributing to efficient back-office operations while acting as a central, customer-facing contact point within the workplace.

Key Responsibilities

  • Provide facilities administration and coordination to support daily operations
  • Manage and update facilities systems such as Tririga and Maximo
  • Monitor and contribute to the delivery of facilities KPIs
  • Respond efficiently to changing operational needs, including meeting room change
  • Support meeting and event setups when required
  • Act as a central point of contact for colleagues, visitors, and suppliers
  • Assist in coordinating and preparing meeting and conference rooms
  • Support budget tracking, purchase orders, invoice processing, and expense reconciliation

Qualifications and Experience

  • Previous facilities or soft services experience preferred
  • Background in facilities strongly desirable
  • Ambition to develop and progress within a facilities career
  • IOSH qualification desirable (training can be provided)
  • Strong administrative skills with excellent attention to detail
  • Confident communicator able to work effectively with a fast-paced Facilities Manager
  • Computer literate with the ability to learn new systems quickly
  • Experience working alongside cleaning or housekeeping teams
