Weโre on the lookout for a Facilities Administrator to work on an exciting new contract across Australia.
This role will report directly into the Key Account Manager.
About the Role
The Facility Administrator is responsible for providing telephone, administrative, commercial, and contract support to ensure the effective management and delivery of facilities management services. The role supports contract compliance, financial administration, reporting, procurement activities, vendor management processes, and service delivery coordination.
The role provides telephone and email support to clients, subcontractors, and internal stakeholders, ensuring enquiries, work requests, and service issues are responded to promptly and professionally.
The Facility Administrator acts as a key link between operational teams, subcontractors, suppliers, and clients, ensuring contractual obligations, reporting requirements, and governance processes are completed accurately and on time.
Key Responsibilities
- Safety, Health and Environment Management
- Apply, enforce and monitor compliance with Clientโs HS&E policies associated with the contract.
- Apply, enforce and monitor compliance with all ISS HSEQ policies, procedures and systems, including all associated Commonwealth and State statutory regulations.
- Identify safety and environmental hazards and follow through to control hazards and escalate as required.
- Know safety processes and standards that relate to your work activities.
- Carry out site Incident Reporting and investigations as required and in line with ISS procedure, to meet ISS and client related KPIs such as same day reporting of incidents.
- Ensure HSEQ incidents are reported promptly and investigated thoroughly and agreed corrective action(s) are implemented.
- Client Liaison
- Provide telephone support to clients and stakeholders.
- Deliver first-line telephone assistance and customer service.
- Respond to enquiries via telephone and provide timely resolutions.
- Document Controlling
- Develop and maintain a close working relationship with the designated client representatives via regular formal meetings.
- Ensure work order tasks are raised, completed and closed out
- Ensure effective communication with client representatives.
- Attend meetings with Clients to co-ordinate activities, strategies, planning to meet business needs.
- Responsible for the registration, distribution and disposition of project documentation in accordance with company standards and project requirements.
- Work in close collaboration with facilities team to support the management of deliverables
- Provide excellence in customer service to internal and external customers to deliver ISSโ Service with a Human Touch.
- Ad-hoc compliance and reporting duties
