The Workplace Facilities Assistant is pivotal in ensuring the smooth operation and administration of the workplace environment for the Arcadis account. This role is responsible for enhancing the efficiency of back-office functions and supporting a positive experience for employees and guests. The Workplace Facilities Assistant collaborates with various teams to uphold the core values of ISS and Arcadis, ensuring high standards of service delivery.
The role involves providing a comprehensive Workplace Facilities Management service, delivering high-quality customer service and technical support to all users of Arcadis UK offices. It also requires understanding and applying relevant Facilities Management procedures and processes to ensure consistency and compliance.
Key Responsibilities- Provide administrative and operational support to the Workplace Facilities Manager and workplace teams.
- Coordinate essential services such as cleaning, catering, and maintenance to ensure smooth day-to-day operations.
- Maintain accurate records and workplace documentation, ensuring compliance with policies and standards.
- Act as the primary point of contact for workplace-related queries from employees and contractors.
- Liaise with suppliers and service providers to ensure timely and efficient delivery of services.
- Monitor workplace systems and produce reports on occupancy, usage, and service performance.
- Support health, safety, and environmental compliance, including audits and incident reporting.
- Assist with sustainability initiatives and process improvements to enhance workplace efficiency.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint) and workplace management systems.
- Excellent organisational and multitasking skills, with the ability to manage competing priorities.
