We are seeking two highly organised and proactive Helpdesk Administrator to support the coordination of all facilities and operational activity across the client\’s portfolio. This role sits at the centre of a busy, fast‑paced environment where accuracy, pace and strong communication are essential.
We are looking for someone who enjoys variety, can stay calm under pressure, and takes ownership of tasks from start to finish. You will help keep sites running smoothly by managing service requests, coordinating suppliers and ensuring customers receive a seamless service experience.
Key Responsibilities
- Triage and allocate incoming service requests to the correct supplier, engineer or team
- Progress jobs from first contact to closure, ensuring clear customer updates
- Monitor workflows, escalating risks to SLAs where needed
- Coordinate contractor attendance, site access and required documentation
- Liaise with suppliers and engineers to ensure clarity of instructions
- Raise and manage Purchase Orders and resolve PO or invoice queries
- Maintain accurate real‑time data within CAFM and internal systems
- Capture documentation such as photos, RAMS and completion notes
Experience & Behaviours
- Strong ownership mindset and ability to manage multiple priorities
- Calm and solutions‑focused when handling urgent or high‑volume requests
- Confident questioning and ensuring accurate information capture
- Experience working in accuracy‑led environments with compliance requirements
- Excellent written communication and time‑management skills
- Desirable: experience in helpdesk, FM coordination or CAFM systems
