The Workplace Facilities Assistant plays a key role in ensuring the smooth daily operation of our client offices, supporting both employees and visitors in a professional and welcoming environment. This role focuses on the delivery of high-quality workplace facilities services, helping maintain a productive, safe, and efficient office space.

Working closely with the wider ISS and client teams, you’ll support the back-office functions, uphold compliance through established procedures, and contribute to a consistently positive workplace experience. You will be responsible for delivering excellent customer service, providing technical and operational support, and ensuring all FM processes are followed to the highest standards.

Key Responsibilities
  • Support the Senior Workplace Facilities Manager with coordination and documentation.
  • Manage workplace data, reports, and systems to ensure accuracy and compliance.
  • Coordinate services such as cleaning, catering, and maintenance for smooth operations.
  • Act as main contact for workplace queries and liaise with suppliers.
  • Maintain health, safety, and ESG compliance records and initiatives.
  • Monitor budgets, process invoices, and assist with financial tracking.
  • Identify and support process improvements and new workplace initiatives.
Professional and Personal Competencies/Qualifications
  • Experienced in administrative or coordination roles, ideally within facilities or workplace settings.
  • Proficient in Microsoft Office and workplace management systems.
  • Highly organised with strong multitasking and prioritisation skills.
  • Excellent written and verbal communication.
  • Knowledge of health and safety regulations and reporting processes (preferred).
