We are looking for a Workplace Assistant to deliver a high-quality, customer-focused workplace experience within a professional corporate environment at Capgemini’s London office. This is a front-of-house, service-led role where you will act as a visible point of contact for employees, visitors, and suppliers, ensuring the workplace is always clean, organised, and fully ready for business. You will take ownership of meeting room standards, hospitality delivery, and day-to-day workplace support, working closely with facilities, cleaning, and reception teams.

Responsibilities

  • Prepare, set up, and reset meeting rooms to required standards, including layout, presentation, cleanliness, AV basics, and tea/coffee.
  • Deliver professional visitor hosting and maintain a polished front-of-house presence.
  • Ensure all workplace areas are clean, stocked, safe, and fully operational.
  • Coordinate and support hard and soft FM services with minimal disruption to staff.
  • Identify issues early (cleaning, maintenance, stock, safety) and ensure timely resolution.
  • Log and follow up reactive tasks with facilities and cleaning teams.
  • Support reception, concierge, post room, hospitality, and event-driven duties as required.
  • Issue temporary access passes and update security systems when needed.
  • Assist new starters with floor orientation and basic equipment guidance.

Qualifications

  • Proven experience in customer service, hospitality, or front-of-house (corporate environment preferred).
  • Confident communicator with a professional, customer-first approach.
  • Highly organised, proactive, and able to work on own initiative.
  • Comfortable making decisions without constant supervision.
  • Flexible, adaptable, and able to manage a varied daily workload.
  • Competent using Microsoft Outlook, Word, Excel, and basic AV/IT equipment.
