We are seeking an organised and proactive Operations Business Support Administrator to join our team in Manchester. This role is pivotal in ensuring smooth back‐office operations, compliance with asset management standards, and effective scheduling of service visits.
You will play a key part in managing contractors, maintaining accurate documentation, and supporting helpdesk operations to meet service level agreements.
The successful candidate will have strong communication skills, excellent organisational abilities, and a good level of IT proficiency. Experience with CAFM systems and fault logging is desirable, along with the ability to work under pressure and meet deadlines. Key Responsibilities- Support 55001 compliance and asset management processes, including CAFM PPM planning and reporting.
- Schedule and book service visits for contractors, ensuring health and safety work packs are prepared and approved.
- Maintain accurate records of service documentation, compliance paperwork, and corrective actions.
- Operate and support the ISS Help Desk, logging and prioritising calls within KPI targets.
- Raise purchase orders and liaise with third‐party suppliers to allocate work as required.
- Provide general administrative and clerical support, including cover for colleagues during absences.
- Ensure compliance with health, safety, and security procedures, reporting incidents and supporting investigations.
- Build and maintain positive relationships with clients, contractors, and internal teams to ensure high service standards.
- Strong verbal and written communication skills with a professional telephone manner.
- Good organisational skills and ability to work under pressure to meet deadlines.
- Proficiency in Microsoft Office, particularly Excel; experience with CAFM systems is an advantage.
- Previous experience in fault logging and data recording on database systems.
- Ability to use initiative and maintain accuracy in all tasks.
