HGV Warranty & Claims Administrator to join a busy commercial vehicle operation based near Heathrow.
This is a varied back-office role supporting workshop activity across warranty, repair and maintenance agreements and customer invoicing.
You do not necessarily need previous HGV experience.
Applications are welcomed from people who have worked within car dealerships, LCV workshops, commercial vehicle businesses or other automotive aftersales environments .
This could also be an excellent move for an experienced
Service Advisor who enjoys the administrative and technical side of aftersales and would like to move away from a predominantly customer-facing position.
The Role
You will be responsible for making sure completed workshop work is accurately converted into the correct claims and invoices.
Working closely with service, workshop and accounts colleagues, you will review job information, prepare submissions, investigate discrepancies and ensure outstanding claims are followed through.
The role involves working across several systems, so strong computer skills, accuracy and the ability to manage multiple tasks are essential.
Your day-to-day duties will include
- Preparing and submitting automotive warranty claims
- Processing repair and maintenance contract claims
- Producing customer and retail invoices for completed workshop work
- Checking job cards, labour entries, parts and supporting information
- Ensuring submissions meet the relevant warranty or contract requirements
- Investigating rejected or queried claims and arranging corrections
- Following outstanding claims through to completion
- Liaising with service departments regarding missing or incorrect information
- Working with accounts colleagues to resolve invoicing queries
- Maintaining accurate electronic and administrative records
- Using multiple manufacturer and internal systems throughout the working day
- Supporting administration relating to work completed at other workshop locations
- What We’re Looking For
This position would suit someone who already understands how an automotive workshop or dealership operates.

You will ideally have
- Previous automotive industry experience
- Knowledge of vehicle servicing, maintenance and repair processes
- Experience with warranty, claims or invoicing administration
- Strong attention to detail
- Good numerical and administrative skills
- Confidence learning and using several software systems
- The ability to prioritise a busy workload
- Good communication skills when dealing with internal departments
- A methodical approach to paperwork and data
Experience within
HGV or commercial vehicles would be advantageous, but candidates from car and LCV backgrounds are equally encouraged to apply.
