The role is an integral part of the Administration Team at Isokinetic Medical Group – FIFA Medical Centre of Excellence.
We are looking for a Patient Administrator to join our team and support the smooth running of our clinic. The role involves managing front desk operations, coordinating patient appointments and clinician diaries, assisting with patient communication, and ensuring that all administrative processes are completed accurately and efficiently.
The successful candidate will be responsible for a variety of administrative tasks, including appointment scheduling, patient records, insurance and payment processes, document management, and general office organisation. This role requires someone who is organised, adaptable, and able to manage multiple tasks in a busy medical environment while maintaining a high level of attention to detail.
As a key point of contact for our patients, the Patient Administrator should be professional, approachable, and compassionate, with excellent communication and interpersonal skills. A discreet and respectful approach is essential when dealing with confidential patient information.
The ideal candidate will be reliable, proactive, and a strong team player, working closely with doctors, physiotherapists, and the wider administration team to ensure patients receive the highest standard of care and service from their first interaction with Isokinetic.
MAIN DUTIES/RESPONSIBILITIES:
· Support the opening and closing of the clinic, ensuring all areas are prepared and daily procedures are completed.
· Welcome patients in a friendly and professional manner, complete check-in procedures, and collect any required personal, insurance, and administrative information.
· Manage incoming emails, ensuring patient and internal queries are handled efficiently and directed to the relevant team members when needed.
· Provide patients with registration forms, clinic information, policies, and any required documentation.
· Process payments and assist with any billing or payment-related queries.
· Provide patients with support and guidance throughout their journey, ensuring they feel welcomed and well informed.
· Provide professional administrative support to doctors, physiotherapists, colleagues, visitors, and patients.
· Answer telephone calls in a polite and professional manner, ensuring enquiries are managed effectively.
· Handle all patient, clinician, and company information with the highest level of confidentiality and discretion.
· Coordinate patient appointments and manage clinician diaries to ensure efficient scheduling.
· Communicate effectively with different teams within the clinic, supporting a smooth patient journey.
· Follow clinic procedures and protocols to ensure consistency and high standards of service.
· Assist with patient admissions and treatment-related administration when required.
· Maintain accurate records, update patient information, and complete administrative documentation and reports.
