An exciting opportunity has arisen for a business support administrator to join a pilot project which is launching a centralised administration hub coordinating physical health monitoring activities in North Devon. This will include holding central records of all patients who require physical health monitoring, booking appointments, managing DNAs and liaising with teams across the directorate.

We are seeking an enthusiastic administrator with excellent IT, communication, and organisational skills. The role offers the opportunity for hybrid working over 4 days a week (0.8 FTE). We will be recruiting 2 applicants to this position. You will get job satisfaction in helping colleagues and patients efficiently and compassionately. Responsibilities:

  • Booking initial appointment slots within the clinic or community setting.
  • Setting recalls to book follow‑up appointments.
  • Managing cancellations and non‑attendance.
  • Handling queries from patients and referrers.

About You:

You will have experience of working in a team, providing administrative support in an office environment. The role involves communication, so we expect you have excellent verbal and written skills. We expect you to have a working knowledge of Microsoft Office packages and be comfortable with working with electronic records. Interacting with patients and the public you will be confident in giving non‑clinical information and advice that improves their experience. Dealing with sensitive information daily, you will understand the importance of data security. You will often work under pressure and without direct supervision, so we are looking for someone confident and capable. You will prioritise tasks, manage your own workload, and provide support for your colleagues where required. You will become an important part of the team, working to ensure that every patient receives high quality care.

Qualifications (Essential):

  • Business Administration Level 3/T Level qualification in Management and Administration, or equivalent experience.
  • GCSE English or equivalent.
  • Evidence of continuing professional and personal development.

Qualifications (Desirable):

  • ICDL (International Computer Driving License), or equivalent experience.

Experience (Essential):

  • Ability to fulfil all spoken aspects of the role with confidence and fluency in English.
  • Good numeracy and literacy skills.
  • Good interpersonal and communication skills, both written and verbal, including the ability to deal professionally and tactfully with people at all levels.
  • Intermediate IT skills in Microsoft Office Packages, i.e. Word, Excel, PowerPoint and Outlook.
  • Effective organisational skills and the ability to prioritise workload in a demanding environment.
  • Working knowledge of a range of administrative procedures including diary management, arranging appointments and supporting meetings.
  • Experience of general office routine and filing systems.
  • Experience or understanding of creating electronic records and electronic filing systems.
  • Experience of working as part of a team, including understanding and respect of confidentiality in the workplace.
  • Experience of dealing with people in distress in a calm, compassionate and confident manner.
  • Ability to exercise initiative and work without direct supervision on a day‑to‑day basis.

Experience (Desirable):

  • Ability to take accurate formal and informal minutes.
  • Experience of dealing with confidential and complex information.
  • Previous NHS experience of working in a Healthcare or Social Care administrative setting.
