We’re partnering with one of the world’s fastest-growing hedge funds to find an organised, proactive, and service-driven Facilities Team Assistant to join their London office. This is an outstanding opportunity for someone with a few years’ office or facilities experience who is ready to step into a fast-paced, high-performing environment at the heart of global finance.

Key ResponsibilitiesAs part of the Facilities & Front of House team, you’ll ensure smooth day-to-day operations across the London office, delivering a first-class experience to employees, visitors, and VIP clients. Duties include:
- Reception & Front of House
- Meeting and greeting clients and visitors with warmth and professionalism
- Escorting guests to meeting rooms, providing refreshments, and announcing arrivals
- Maintaining the highest presentation standards across all client-facing spaces
- Managing the meeting room booking system and tracker
- Ensuring meeting rooms are set up and cleared promptly after use
- Facilities Management
- Coordinating repairs, maintenance, and office services, liaising with vendors and contractors
- Supporting Health & Safety compliance, including visitor logs and security badge issuance
- Ordering and replenishing office and pantry supplies for London and Paris offices
- Managing incoming and outgoing mail and arranging couriers (FedEx and local)
- Overseeing office equipment and liaising with suppliers for servicing and repairs
- Processing invoices and maintaining vendor relationships
- Team & Administrative Support
- Providing ad hoc support to the Executive Assistants and broader office team
- Assisting with internal and external events, including logistics and catering
- Coordinating travel bookings where required
- Preparing reports, presentations, and documentation for facilities projects
- Covering for the Front of House Manager during absences
