This leading property firm near Green Park station is looking for a highly organised Executive Assistant & Office Manager to support the Managing Director and CFO as well as ensure the smooth operation of the London office. This is an excellent opportunity for a resourceful individual with a minimum of 5 years’ relevant experience, ideally within a fast-paced boutique environment.
Key Responsibilities
- Executive Assistant
- Provide comprehensive, high-level administrative support to the Managing Director.
- Manage complex calendars, coordinate travel, and prepare detailed itineraries.
- Organise and support executive meetings, including agenda preparation, minute-taking, and action tracking.
- Plan and coordinate offsite meetings, company events, and executive engagements.
- Assist in ad hoc projects and executive initiatives.
- Office Manager
- Manage office supplies, maintenance, vendor relationships, and service contracts.
- Oversee the front-of-house function, ensuring a welcoming environment for all visitors.
- Coordinate office layouts, moves, and new employee setups.
- Support compliance with health & safety policies and crisis management procedures.
- Supervise the Receptionist and team assistant.
- Finance Assistant
- Process accounts payable transactions and support invoice approval workflows.
- Support monthly bank reconciliations and maintain accurate records.
- Liaise with suppliers to resolve queries and discrepancies.
- Help generate financial reports and support audit and compliance processes.
- Use accounting tools such as Xero where applicable.
Key Skills & Qualifications
- Minimum 5 years of experience in a similar EA/Office Manager role, ideally within a property, finance, or corporate services environment.
- Exceptional organisational and multitasking skills.
- Strong written and verbal communication abilities.
- High level of professionalism, integrity, and confidentiality.
- Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word, Teams).
- Experience with accounting software such as Xero is an advantage.
