We're seeking a travel planner extraordinaire for a rapid-pace EA / Roadshow Coordinator opportunity! You must have strong knowledge of managing complex business travel or roadshows across the GCC region and as a minimum will have at least 8 years of providing strong Executive Assistant support within Financial services. You thrive in a fast-paced, global environment and demonstrate sound judgement, discretion, initiative, and strong communication skills. This position requires a high level of autonomy and precision, particularly in coordinating complex roadshows and investor meetings across the Middle East.
Responsibilities:
- Manage complex, ever-changing calendars across many timezones, with a focus on coordinating investor meetings across the UAE, Saudi Arabia, Qatar and other key GCC territories.
- Take the lead on Middle East roadshow logistics: booking multi-leg travel itineraries, securing accommodation and ground transportation, business dinners and preparing detailed agendas specifically tailored to local customs and preferences.
- Serve as the trusted communication hub for executives, often representing the firm in sensitive communications with Middle East-based clients.
- Autonomously prepare briefing materials and investor notes for meetings, often with minimal notice.
- Use the CRM (Salesforce) to track investor interactions and meetings, ensuring accurate and timely recording.
- Reconcile and submit multi-currency expense reports, involving coding and compliance requirements.
- Support regional office events and contribute to the broader team culture.
Must haves:
- Minimum of 8+ years’ experience as an administrative assistant, preferably within financial services.
- Proven experience supporting senior executives in a global financial services or investment firm, ideally with exposure to the Middle East region.
- Deep understanding of cultural nuances and logistical challenges involved in regional roadshow planning.
- Flexibility to troubleshoot and address issues outside regular business hours as needed.
- Knowledge of Salesforce and proficiency in MS Office applications; Word, Excel, PowerPoint, Outlook, and Workday.
- Exceptional organisational skills and attention to detail, with the ability to manage competing priorities and adapt quickly to change.
- Strong interpersonal skills and a collaborative mindset, with a proactive approach to problem-solving.
