As a Property Manager / Senior Property Manager, you are responsible for managing the full lifecycle of tenancies, ensuring every landlord and tenant receives an exceptional experience from move-in through to move-out. You are the central point of contact throughout the tenancy journey, balancing customer service, compliance, problem-solving, and commercial awareness to protect our clients’ assets and deliver outstanding results. Senior Property Managers will also provide guidance, coaching, and support to colleagues, helping raise standards and develop the wider team.

About the Role

We are seeking an experienced and driven Senior Property Manager to join our growing team. You will take ownership of a portfolio of properties and manage every stage of the tenancy lifecycle, ensuring properties remain compliant, issues are resolved efficiently, landlords are informed, and tenants are supported throughout their tenancy. The role also includes supporting and mentoring team members while helping drive operational excellence across the department.

Key Responsibilities

  • Tenancy Lifecycle Management
    • Manage tenancies from move-in to move-out.
    • Coordinate tenant onboarding, tenancy documentation, renewals, rent reviews, and tenancy terminations.
    • Ensure a smooth customer experience at every stage of the tenancy.
    • Proactively manage tenancy milestones and key dates.
  • Landlord & Tenant Relationships
    • Build strong relationships with landlords and tenants through clear, proactive communication.
    • Act as the primary point of contact throughout the tenancy.
    • Resolve complaints, disputes, and escalated issues professionally and efficiently.
    • Deliver advice and recommendations that protect landlords’ investments and support tenant retention.
  • Maintenance & Property Standards
    • Coordinate maintenance works and contractor attendance.
    • Ensure repairs are handled promptly and cost-effective.
    • Monitor outstanding issues through to completion.
    • Conduct and review property inspections, identifying risks and opportunities for improvement.
  • Compliance & Risk Management
    • Ensure properties remain fully compliant with Scottish legislation and safety requirements.
    • Monitor certification requirements including gas safety, EICR, and HMO compliance.
    • Manage deposit disputes and complex tenancy matters.
    • Maintain accurate records and documentation.
  • Portfolio Performance
    • Identify opportunities to improve landlord retention, tenant satisfaction, and operational efficiency.
    • Support business objectives through effective portfolio management and service delivery.
  • Team Leadership
    • Mentor and support Property Managers.
    • Share knowledge and best practice across the team.
    • Assist with training, onboarding, and performance development.
    • Help foster a positive, accountable, and high-performing culture.

What You’ll Need

Essential

  • 5 years’ experience in residential property management.
  • Strong knowledge of Scottish lettings legislation and compliance requirements.
  • Excellent communication and relationship-building skills.
  • Strong problem-solving and conflict-resolution abilities.
  • Highly organised with excellent attention to detail.
  • Proficiency in property management software (SME, Fixflo, InventoryBase) and Google Workspace.
  • ARLA Propertymark and/or Letwell qualification.
  • Experience managing HMO properties.

Desirable

  • Previous experience mentoring or leading colleagues.
  • Experience managing complex tenancy disputes and legal processes.
  • Track record of improving customer experience and operational efficiency.
